What happens before a vaccination clinic?

The School Age Immunisation Service (SAIS) Admin team will send e-consent links to schools, families and young people along with planned dates of delivery. These will be returned via the paper-free e-consent platform and processed ready for the session. Our Admin team will attend school sessions and will travel there independently.

The vaccination rota will be developed and staff will be allocated roles regarding the collection of the equipment. This rota will be available on this webpage when it is complete.

A vaccination risk assessment is completed by the SAIS and on the day the following checklist will be completed to ensure the space allocated is safe.

SAIS is only able to offer flu vaccinations to children in schools up to Year 11.

Children in Year 12 or 13 in a mainstream school and in a clinical risk group, may be eligible for a flu vaccination through their GP.

SAIS can provide flu vaccinations to children in Year 12 or 13 in special schools. Please contact the team on scn-tr.sheffielddutysn.vacandimm@nhs.net for more details.

On the day of the clinic

  1. Allocated staff will collect the vaccine and equipment, and then go to the school or setting. All other staff will be at the school or setting when they arrive to ensure a prompt start, usually 9.30am (unless an alternative time has been agreed).
  2. SAIS staff will sign in at the school or setting and follow the venue’s guidance in relation to health and safety requirements.
  3. Staff will make their way to the allocated room and set up their own station with equipment needed to provide vaccinations.
  4. Staff will check consent, health, and any contraindications with the young person; they will then collect the vaccine required, draw up the vaccine and give accordingly. Staff will ensure that the e-consent form is fully complete before the child leaves. Aftercare advice is sent via email.
  5. At the end of the session, all clinical waste will be taken away for disposal. Any general waste will be disposed of in the school or setting. In community clinics, please refer to the Immunisation Checklist for guidance. Unused vaccine is maintained in cold chain and returned to Sheffield Children’s Pharmacy.

Who organises the clinic?

The SAIS co-ordinator will monitor the cold chain and vaccine supplies, ensuring the session is run in accordance to Infection Control Panel measures. The coordinator will make themselves known to the school or setting lead before the session begins. They will also:

  • Ensure staff feel supported and support the new vaccinators with competency.
  • Address any issues with consent, and support self-consent where required.
  • Respond to any emergency, such as adrenalin requirement.
  • The coordinator is not expected to vaccinate but may cover breaks if required.

Consent

Clinical staff will complete the contraindications of returned e-consent forms prior to the session. Wherever possible this will be 48 hours before a session to ensure timely response to any medical queries can be made.

At the end of a session, allocated staff will log on to e-consent and complete contraindications. 

Sheffield Children’s uses a third party – Cinnamon Digital Applications – to provide an e-consent service for families. A School User Guide and Privacy Policy for this company is available below.
